This Privacy Policy applies to the QR Virtual Services corporate website and to personal data processed through QRVS services, contact channels and user accounts. QRVS also operates or supports specialised services and platforms, including QRVS Academy, VALI Arabic Institute, virtual classroom services and examination-related services. QRVS does not store complete payment-card details.
5. Legal Bases
Depending on the processing activity, personal data may be processed to perform a contract, take pre-contractual steps, fulfil legal obligations, protect legitimate interests, or based on consent where consent is required.
6. Cookies and Consent Management
QR Virtual Services uses technically necessary cookies and similar storage technologies for authentication, security, session management, language selection and secure operation of the website and user services.
Where a cookie or comparable technology is not strictly necessary for a service expressly requested by the user, it will be activated only after the user has received appropriate information and provided consent where legally required.
Users can manage their preferences through the cookie settings offered on the website, where available. They can also delete or block cookies through their browser settings. Consent to optional technologies may be withdrawn for the future without affecting processing that occurred lawfully before withdrawal.
Blocking technically necessary cookies may prevent account login or other essential website and service functions.
7. Educational, Examination and Virtual Classroom Services
Where a user chooses an educational, examination or virtual classroom service operated or supported by QRVS, Moodle, BigBlueButton or comparable systems may be used. These services may process participation, examination and academic-support data. Where a session is recorded, users will be informed as required. Recordings may contain audio, video, presentations, participant names and chat messages.
Access to recordings is restricted to authorised users. Retention depends on the educational, examination, documentation, contractual and legal purpose of the recording.
8. Service Providers
Depending on the service selected, QRVS may use providers supporting hosting, educational and virtual-classroom systems, email delivery, payments, customer communication, maps, embedded media, spam prevention and technical infrastructure.
Providers receive personal data only to the extent necessary for the respective purpose and subject to the applicable contractual and legal safeguards.
9. Retention
Account and service data is retained for as long as needed to operate the user account and provide the requested services. Accounting, contractual and, where applicable, examination and certificate records may be retained longer where this is required for verification, defence of legal claims or statutory retention duties.
Backups are retained according to the operational backup cycle and are overwritten or deleted in accordance with the applicable retention schedule.
10. Your Data-Protection Rights
Subject to the applicable legal requirements, users may request:
- Access to their personal data
- Correction of inaccurate personal data
- Deletion where no overriding legal ground requires retention
- Restriction of processing
- Data portability where applicable
- Objection to processing based on legitimate interests
- Withdrawal of consent for the future
- Information about recipients and relevant international transfers

Requests are handled without undue delay and normally within one month. This period may be extended where permitted by law for complex or numerous requests, in which case the requester will be informed.
11. Complaints
Users also have the right to lodge a complaint with a competent data-protection supervisory authority.
12. Security
QRVS uses appropriate technical and organisational measures intended to protect personal data against accidental loss, unauthorised access, alteration and disclosure. Access is restricted according to role and operational necessity.
13. Changes to this Privacy Policy
QRVS may update this Privacy Policy to reflect changes in law, technology, services or internal processes. The current version and its effective date will remain available on this page.
Where an update materially affects users or their rights, users will be notified by an appropriate method, such as a notice on the website, a notice in the relevant user account, or email where required or appropriate. Where renewed consent is legally required, the relevant service will not rely on the new consent until it has been obtained.
